We are seeking a reliable, organized, and patient-focused Front Desk & Care Coordinator to join our team. This role is ideal for someone who enjoys a mix of patient-facing responsibilities and behind-the-scenes care coordination work.

Position Overview:This is a split-role position with a consistent weekly schedule:

  • Front Desk Clinic support- 60% of the time
  • Care Coordinator (administrative-focused)-40% of the time

This role plays a key part in ensuring smooth clinic flow, accurate patient records, and timely coordination of referrals and medical documentation.

Front Desk Clinic Responsibilities

  • Greet and check in patients in a professional and welcoming manner.
  • Collect patient identification and insurance cards.
  • Obtain annual consent forms.
  • Complete patient registration, including: Insurance verification
  • Klara online check-in
  • Chart preparation (assembling charts, scanning documents)
  • Perform audio tracking duties: Check in hearing aids, Collect audio-related payments
  • Check out patients
  • Maintain patient confidentiality and comply with HIPAA regulations.

Incoming Calls Support

  • Assist with incoming calls as needed.
  • Route messages appropriately and provide accurate information to patients.

Care Coordinator Responsibilities

  • Manage incoming and outgoing referrals.
  • Process outgoing medical records and respond to medical records email requests.
  • Prepare and organize surgery packets.
  • Manage clinic bins and documentation workflows.
  • Handle mail-related tasks, including: Handing mail off to designated staff
  • Running mail to the drop box
  • Biweekly pickup of mail from the mailroom
  • Support administrative and care coordination tasks to ensure continuity of patient care.

Qualifications

  • High school diploma or equivalent (healthcare-related education preferred).
  • Previous experience in a medical office, front desk, or care coordination role preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency with EHR systems and Microsoft Office.
  • Ability to work independently and as part of a team.
  • Professional, dependable, and patient-focused demeanor.

Job Type: Full-time

Pay: From $22.00 per hour

Expected hours: 32 – 40 per week
