We are seeking a reliable, organized, and patient-focused Front Desk & Care Coordinator to join our team. This role is ideal for someone who enjoys a mix of patient-facing responsibilities and behind-the-scenes care coordination work.
Position Overview:This is a split-role position with a consistent weekly schedule:
- Front Desk Clinic support- 60% of the time
- Care Coordinator (administrative-focused)-40% of the time
This role plays a key part in ensuring smooth clinic flow, accurate patient records, and timely coordination of referrals and medical documentation.
Front Desk Clinic Responsibilities
- Greet and check in patients in a professional and welcoming manner.
- Collect patient identification and insurance cards.
- Obtain annual consent forms.
- Complete patient registration, including: Insurance verification
- Klara online check-in
- Chart preparation (assembling charts, scanning documents)
- Perform audio tracking duties: Check in hearing aids, Collect audio-related payments
- Check out patients
- Maintain patient confidentiality and comply with HIPAA regulations.
Incoming Calls Support
- Assist with incoming calls as needed.
- Route messages appropriately and provide accurate information to patients.
Care Coordinator Responsibilities
- Manage incoming and outgoing referrals.
- Process outgoing medical records and respond to medical records email requests.
- Prepare and organize surgery packets.
- Manage clinic bins and documentation workflows.
- Handle mail-related tasks, including: Handing mail off to designated staff
- Running mail to the drop box
- Biweekly pickup of mail from the mailroom
- Support administrative and care coordination tasks to ensure continuity of patient care.
Qualifications
- High school diploma or equivalent (healthcare-related education preferred).
- Previous experience in a medical office, front desk, or care coordination role preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency with EHR systems and Microsoft Office.
- Ability to work independently and as part of a team.
- Professional, dependable, and patient-focused demeanor.
Job Type: Full-time
Pay: From $22.00 per hour
Expected hours: 32 – 40 per week
