Overview
We are seeking a detail-oriented and organized Intake Coordinator to join our healthcare team. The ideal candidate will be responsible for managing patient intake processes, verifying insurance information, and ensuring accurate documentation within various Electronic Health Record (EHR) systems. This role is vital in providing exceptional patient service and supporting efficient clinic operations. Experience with office management is highly valued, along with strong computer skills and familiarity with EMR systems such Hospicemd.. Bilingual abilities and clinic experience are considered advantageous. The Intake Coordinator will play a key role in maintaining compliance with HIPAA regulations and ensuring smooth communication between patients and healthcare providers.

Responsibilities

  • Greet patients professionally and assist with the check-in process using EMR systems such as Hospicemd
  • Verify insurance coverage and perform insurance eligibility verification for Medicare, Medicaid, and other plans
  • Collect and document patient information accurately, including medical history, current medications, and care plans
  • Review medical documentation for completeness and accuracy, ensuring compliance with HIPAA standards
  • Enter data into various EHR systems like eClinicalWorks with high accuracy and attention to detail
  • Schedule patient appointments efficiently while managing multi-line phone systems and maintaining excellent phone etiquette
  • Assist with medical billing processes including CPT coding, ICD-9/10 coding, and insurance claims submission
  • Maintain organized medical records and ensure proper filing of documents in accordance with health information management protocols
  • Support front desk operations by providing exceptional customer service to patients and visitors
  • Collaborate with clinical staff to facilitate smooth intake procedures and improve workflow efficiency
  • Stay updated on healthcare regulations related to documentation review, ICD coding, ICD-10 updates, and HIPAA compliance

Qualifications

  • Proven experience in medical administrative support or office management within a healthcare setting; clinic or dental office experience is preferred
  • Strong knowledge of EMR/EHR systems such as Hospicemd or similar platforms
  • Familiarity with medical billing procedures including CPT coding, ICD coding (ICD-9/10), insurance verification, and Medicare processes
  • Excellent organizational skills with the ability to handle multiple tasks efficiently in a fast-paced environment
  • Proficient computer skills including Microsoft Office Suite (Word, Excel), typing (including 10-key), and familiarity with health information management software
  • Knowledge of medical terminology across various specialties including dental terminology if applicable
  • Exceptional communication skills with a focus on patient service and phone etiquette; bilingual abilities are a plus
  • Ability to maintain confidentiality in accordance with HIPAA regulations and handle sensitive information discreetly
  • Prior experience working in a healthcare office or clinic environment is highly desirable
