About Neurovana TMS
Neurovana TMS is a dedicated Transcranial Magnetic Stimulation (TMS) clinic founded by mental health providers who believe in targeted, non-invasive, and science-backed treatment. We provide cutting-edge care for patients who haven’t found relief with medications or talk therapy alone and collaborate with local mental health and medical providers to support patients on their journey to wellness. We are a small, growing start-up with plans to expand.
Position Summary
We’re seeking a TMS Technician & Client Care Coordinator to provide both direct patient support and administrative coordination. This hybrid role includes in-person TMS treatments at our Orange, CA office and remote administrative work from home. This position is ideal for someone who is compassionate, detail-oriented, tech-comfortable, and interested in the mental health field.
Key Responsibilities
TMS Clinical Support (In-Person)
- Complete NeuroStar TMS certification training (provided and paid for by Neurovana)
- Administer TMS treatments according to clinical protocols under physician supervision
- Monitor patients during sessions, document treatment progress, and report concerns to the clinical team
- Provide a calm, supportive presence for patients experiencing depression and anxiety
- Maintain and sanitize TMS equipment and treatment rooms
- Ensure accurate documentation in the EHR
Client Care & Administrative Support (Hybrid)
- Manage patient scheduling, confirmations, and follow-ups
- Assist with patient intake, forms, and onboarding
- Answer phone calls, emails, and inquiries about TMS services in a timely and professional manner
- Support billing and insurance processes (e.g., collecting information, verifying benefits, coordinating with billers)
- Maintain organized digital records and support HIPAA-compliant workflows
Practice & Marketing Support
- Assist the office manager and practice owners with day-to-day administrative tasks
- Provide light support with social media (e.g., tracking DMs/comments, logging engagement) and basic outreach tasks
- Help track referral sources and community contacts
Requirements
- Must be local to Orange County, CA and able to commute to our Orange office for in-person TMS sessions daily
- Experience in mental health, healthcare, or customer service, OR clear ability to demonstrate empathy and comfort working with patients who are depressed and may need extra support
- Strong interpersonal skills: warm, patient, and client-centered
- Excellent verbal and written communication skills
- Strong attention to detail, organization, and follow-through
- Comfortable with technology, including:
- - Electronic Health Records (EHR) systems (or willingness to learn)- Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
Training & Compliance
- NeuroStar TMS certification training required upon hire (provided and paid for by Neurovana)
- HIPAA training certification required within 1 week of start date (prior certification may be submitted if already completed)
Schedule & Growth
- Part-time: 10-20 hours per week to start
- Hybrid: in-person clinical hours + remote administrative work
- Significant potential for growth in hours and responsibilities as the clinic expands
