Overview
We are seeking a dedicated and detail-oriented Assistant Operations Manager to support our operational initiatives and drive efficiency within our organization. The ideal candidate will possess strong leadership skills and a solid background in operations management, with a focus on optimizing processes and enhancing team performance. As the Assistant Operations Manager, you will play a crucial role in overseeing daily operations, ensuring that our objectives are met while maintaining high standards of quality and amazing patient care.

Duties

  • Assist with implementation of operational strategies provided by the Practice Manager that align with organizational goals and objectives for each department and overall practice.
  • Assist the Practice Manager in any daily tasks needed. (phones, text, email, follow ups, spreadsheets, canva, marketing, vendor reach out, department touchbase, drop off of shipments/ documents etc.)
  • Report daily to the practice manager on each department daily status. (Completion of tasks, charting, email, messages, invoices etc.)
  • Connect with the practice manager at the end of each day with the daily close out numbers.
  • Collaborate with each department to ensure daily tasks are completed by due dates and report back to the Practice Manager.
  • Implement processes, improve productivity, and enhance overall operational efficiency strategies provided by the Practice Manager.
  • Provide leadership and support to team members, fostering a positive work environment.
  • Ensure the staff is compliant with company policies, procedures, and regulations to maintain operational integrity.
  • Conduct regular assessments of operational workflows to identify bottlenecks and recommend solutions for optimization to the Practice Manager in advance.
  • Facilitate training sessions for staff on best practices, safety protocols, and operational procedures. (All trainings must be approved by the Practice Manager prior)
  • Team Player for the Practice Manager, Providers and Full Staff.

Qualifications

  • Proven experience in operations management or a related field, demonstrating strong analytical and problem-solving skills.
  • Excellent leadership abilities with experience in managing teams effectively in a dynamic environment.
  • Strong organizational skills with the capacity to prioritize tasks and manage multiple projects simultaneously.
  • Exceptional communication skills, both verbal and written, to engage effectively with team members at all levels of the organization.
  • A bachelor’s degree in business administration, operations management, or a related discipline is preferred but not mandatory.
  • Google (docs, gmail, sheets), Canva, Excel, Word, Power Point, Asana, Charm

Job Type: Full-time

Pay: From $28.00 per hour

Expected hours: No less than 40 per week
