Job Summary
The Intake Coordinator plays a crucial role in the healthcare setting by managing patient intake processes and ensuring efficient operations within the clinic. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with patients and healthcare providers. The Intake Coordinator will handle medical records, insurance verification, and documentation review while maintaining compliance with HIPAA regulations.

Duties

  • Manage patient intake processes, including scheduling appointments and collecting necessary documentation.
  • Verify insurance information and ensure accurate billing practices.
  • Review medical records and documentation for completeness and accuracy.
  • Utilize Electronic Health Record (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, and Dentrix for data entry and management.
  • Assist patients with inquiries regarding care plans, medical terminology, and appointment scheduling.
  • Maintain confidentiality of patient information in compliance with HIPAA regulations.
  • Provide clerical support including filing, typing, and managing multi-line phone systems.
  • Collaborate with healthcare providers to streamline patient services and enhance operational efficiency.
  • Ensure accurate coding of diagnoses using ICD-9, ICD-10, CPT coding for billing purposes.
  • Support front desk operations by greeting patients and managing patient flow.

Qualifications

  • Experience in medical office management or administrative support within a healthcare setting is preferred.
  • Familiarity with medical coding (ICD coding), medical billing processes, and health information management is essential.
  • Proficiency in using EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Eaglesoft, or similar platforms.
  • Strong computer skills including Microsoft Office Suite; typing proficiency is required.
  • Excellent phone etiquette and customer service skills are necessary for effective communication with patients.
  • Bilingual candidates are encouraged to apply to enhance patient interactions.
  • Knowledge of dental terminology is a plus for those applying to dental clinics or offices.
  • Previous experience in clinic or hospital settings is advantageous.
