Job Summary

We are seeking a full-time, highly organized, compassionate, and detail-oriented Intake Coordinator to join our mental health practice. The Intake Coordinator will be the first point of contact for prospective clients, guiding them through the initial intake process with professionalism and empathy. This role is crucial in ensuring a seamless and positive experience for individuals seeking mental health services, from their initial inquiry to their first appointment. The ideal candidate will possess excellent communication skills, a strong understanding of confidentiality, and a genuine desire to help others.

Responsibilities

  • Client Communication: Respond to inquiries from prospective clients via phone and email, providing clear and concise information about our services, fees, and intake process.
  • Intake Process Management: Guide clients through the initial intake forms, ensuring all necessary information is collected accurately and completely.
  • Information Gathering: Collect relevant demographic, insurance, and clinical information from clients while maintaining strict confidentiality and adhering to HIPAA regulations.
  • Referrals: Assist clients with referrals to external resources if our practice does not meet their specific needs.
  • Record Keeping: Maintain organized and up-to-date client records in our electronic health record (EHR) system.
  • Collaboration: Work closely with therapists and administrative staff to ensure a smooth transition for new clients.
  • Problem Solving: Address client concerns and questions with patience and a solution-oriented approach.
  • Administrative Support: Provide general administrative support as needed, including managing incoming calls and emails.
  • Intern Support: Training interns on the intake process and overseeing them as they are here through the semester.

Qualifications

  • Experience: Minimum of 1 year of experience in an administrative or client-facing role, preferably within a healthcare or mental health setting.
  • Skills:
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in using electronic health record (EHR) systems and Google Workspace
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Exceptional interpersonal skills and a compassionate demeanor.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
