Job Description

The Intake Supervisor oversees the Intake Team, ensuring effective orientation, supervision, and smooth operation of admissions processes. Supervise calls are answered while coaching intake counselors to improve their call handling skills and increase conversion rates. This role requires proficiency in EMRs, CRMs, and phone systems, along with the ability to create dashboards, monitor call volumes, analyze metrics, and implement improvement plans.

The Intake Supervisor develops and standardizes processes, policies, and reporting, while fostering partnerships with Detox, Residential and Outpatient level of care, Emergency Department, the Hospital Floor and Registration teams.

Key responsibilities include handling client inquiries, converting calls to admissions, conducting assessments, coordinating intake activities, streamline the activity and standardize the intake report and maintaining communication with referral sources, families, and clinical staff.

The role also involves managing census, pipeline of potential patients, and self -pay collection, financial information collection (electronic estimates, copay and deductibles). Other duties include inputting data, generating reports, ensuring compliance with HIPAA regulations, providing staff training, and delivering exceptional customer service.

The position demands flexibility for on-site and on-call work, including weekends. Performs other duties as assigned.

Qualifications

Education and Experience Required
  • 5+ years of admissions experience in detox, residential, or outpatient settings, knowledge of behavioral healthcare processes
  • 2+ years' experience of Supervisory experience
  • Working knowledge of CARF and/or JCAHO accreditation standards
  • Knowledge of HIPPA

Education and Experience Preferred
  • Bachelor's Degree Preferred
  • Motivational interviewing expertise and supervisory experience are advantageous


Certification Required

CATC II - Certified Addiction Treatment Counselor II
or CATC III - Certified Addiction Treatment Counselor III
or CATC IV - Certified Addiction Treatment Counselor IV
or CATC V - Certified Addiction Treatment Counselor V
or CADC II - Certified Alcohol and Drug Counselor II
or CADC III - Certified Alcohol and Drug Counselor III
or CADC-CS - Certified Alcohol Drug Counselor - Clinical Supervisor

and

BLS-AHA Basic Life Support required at hire.
