Job Title: Treatment Operations Manager

About Our Practice:
We are a privately owned dental practice proudly serving the Miramar community since 2018. Our team is committed to providing high-quality, compassionate care in a well-organized and supportive environment. We are seeking an experienced, detail-oriented Treatment Operations Manager to oversee front-office flow, manage the schedule for productivity, and coordinate patient care from start to finish.
Position Summary:
This position requires a mature, organized, and experienced dental professional with excellent communication skills and a deep understanding of dental office operations. You will be responsible for ensuring the schedule runs smoothly and productively, that treatment plans are effectively communicated and followed through, and that patients receive consistent, high-quality service.
Key Responsibilities:
Schedule & Workflow Management
- Ensure daily schedule is productive and efficient for both doctor and hygiene columns
- Anticipate and resolve scheduling gaps, cancellations, or inefficiencies
- Coordinate appointments based on clinical priority, patient needs, and team availability
Treatment Coordination
- Present treatment plans professionally and clearly to patients
- Coordinate follow-up care and ensure patients understand next steps
- Track unscheduled treatment and recall patients as needed
- Assist with financial arrangements and insurance benefit estimates (no claim processing)
Lead Follow-Up & Case Conversion
- Proactively follow up with leads generated by third-party marketing or referral sources
- Coordinate initial consultations and work with the clinical team to guide patients toward care
- Support will be provided; however, the ability to take ownership of patient communication is key
Patient & Team Support
- Oversee the front office flow to ensure timely patient check-in/out
- Support a smooth handoff between administrative and clinical teams
- Monitor patient satisfaction and follow up on any concerns promptly
- Assist in training and supporting front office staff as needed
Requirements:
- 3+ years of experience in a dental office, preferably in treatment coordination or front office management
- Professional, mature demeanor with strong organizational and leadership skills
- Excellent communication — both with patients and team members
- Proficiency in dental software Dentrix Preferred, but not necessary. Training available.
- Solid understanding of dental terminology and treatment sequencing
- Familiarity with PPO insurance
Preferred Qualifications:
- Previous leadership or management experience
- Strong patient communication and case presentation skills
