About Job

The Fleet Service Coordinator serves as the vital link between field operations and the service department, ensuring timely and effective maintenance and repair of company vehicles and equipment. This role is responsible for coordinating all service activities, maintaining communication with foremen and service technicians, and managing detailed records to support efficient fleet operations.

Key Responsibilities Communication & Coordination

  • Act as the primary point of contact for field foremen regarding vehicle and equipment service needs.
  • Accurately document service requests and communicate repair timelines and updates to all relevant stakeholders.
  • Serve as a liaison between the field, service technicians, and the Service Manager to ensure smooth workflows.

Service Documentation & Work Order Management

  • Create and manage detailed work orders, including documentation of vehicle condition, reported issues, and services performed.
  • Open, track, and close service orders promptly and accurately.
  • Maintain up-to-date and organized service history and repair logs.

Scheduling & Operational Support

  • Schedule inspections, diagnostics, and repair appointments for fleet vehicles and equipment.
  • Coordinate daily service tasks with technicians to ensure timely completion of repairs and minimal downtime.
  • Assist in developing maintenance schedules to support fleet reliability.

Cost Estimation & Reporting

  • Provide accurate time and cost estimates for service and repair requests.
  • Monitor and update inspection logs; identify recurring maintenance issues or trends and report findings.
  • Support budgeting and cost-control efforts through detailed reporting.

Parts Sourcing & Inventory Management

  • Source, order, and track necessary parts for vehicle and equipment repairs.
  • Maintain inventory of frequently used parts and supplies to ensure availability and reduce repair delays.

Administrative & Compliance Support

  • Ensure all service operations comply with company policies, safety standards, and regulatory requirements.
  • Prepare service activity reports for management, highlighting key metrics, delays, and improvements.
  • Support ongoing improvement efforts in fleet maintenance processes.

Qualifications

  • Previous experience in service coordination, fleet management, or administrative support—preferably in construction, transportation, or heavy equipment industries.
  • Bilingual (required) – ability to communicate effectively in both English and Spanish.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office Suite and service management software.
  • Excellent verbal and written communication skills.
  • Familiarity with vehicle/equipment maintenance procedures is a plus.
  • High school diploma or equivalent required; certifications in fleet or equipment management are a plus.

Physical Requirements

  • Must have full mobility in upper and lower body.
  • Ability to work in various positions such as standing, bending, kneeling, or squatting for extended periods.
  • Ability to lift, push, or pull up to 25 pounds occasionally as required.

Job Type: Full-time

Pay: $30.00 - $35.00 per hour
