Are you the kind of person who remembers birthdays, color-codes calendars for fun, and makes every guest feel like a VIP? We’re on the lookout for an Administration & Client Service Coordinator who’s equal parts office maestro and client-care magician.
This isn’t your typical front office role. Yes, you’ll be the friendly face and voice welcoming guests, clients, and vendors—but you’ll also play a pivotal role behind the scenes, supporting multiple departments, coordinating travel, managing events, and making sure everything runs like a well-oiled machine.
What You’ll Be Doing
Client & Guest Experience
Be the first point of contact—greeting guests, answering phones, and creating a warm, professional atmosphere
Provide concierge-style customer service to clients, families, staff, and vendors
Observe front door/guest protocols with a smile and sense of security
Administrative Superpower Duties
Organize, scan, file, and audit documents—keeping everything neat, accessible, and secure
Manage incoming and outgoing mail and deliveries
Keep the reception and office area tidy, welcoming, and stocked
Operations & Logistics Coordinator
Coordinate team travel, including flights, accommodations, and car rentals
Oversee office supply inventory and purchasing
Event & Experience Management
Plan and coordinate team lunches, meetings, and internal events like our company wide Christmas party & “Ground School” to name a few.
Support setup, logistics, and communications to ensure every event runs smoothly
Team Support Extraordinaire
Assist different departments with day-to-day tasks and special projects
Work independently, handle confidential information, and stay on top of shifting priorities
Act as the go-to person for anything and everything—if it needs doing, you’re on it!
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
