What You'll Do
As our Admissions Intake Coordinator, you’ll be the warm, knowledgeable guide helping new clients step into our care. Responsibilities include:
- Answering phone calls, emails, web forms, and other avenues of inquiry.
- Verifies that the client to be admitted meets all clinical and financial criteria for admission
- Maintaining accurate programming schedules and adjusting it as needed.
- Supporting clients through their California OnTrack admissions and clearance process.
- Helping clients to understand the full financial picture and applicable benefit information.
- Collaborating with outpatient providers and referents to help support clients into our care.
- Collaborating with management, admissions prep, and clinical questions or concerns.
- Maintaining accurate client records within BestNotes database.
- Knowledgeable admission criteria for all services, units, and programs.
- Offers admission to coordinated specialty care (CSC) when appropriate.
- Obtains signatures for California OnTrack Admissions Paperwork
- Completes the Pre-screen/Initial Intake Assessment in Best Notes
- Inquires as to whether potential patient has access to dangerous items that can potentially be used to harm self or others has been assessed.
- Researches insurance benefits carefully to determine correct payer sources.
- Ensures that an attempt is made to pre-certify/authorize patient.
Qualifications
- Bachelor's degree or related experience.
- Sales or customer service experience, preferably in healthcare.
- Experience with EMR database
- Strong communication skills. Must have the ability to effectively present information and respond to questions from leadership, staff, patients, referents, and the public.
- Strong customer service skills, attention to detail, and ability to multi-task required.

- Proficient in Google Workspace or similar software.
- Working knowledge of medical insurance as it pertains to treatment.
- Must be able to work flexible hours including nights and weekends.

Skills & Abilities
- Able to communicate effectively in English, both verbally and in writing.
- Able to drive company vehicle. Must meet criteria and qualifications of auto policy.
Machines Tools, Equipment & Other Work AIDES:
- Facility and comfort using a computer
- Strong knowledge and ability to use without training, Google Drive, Google Docs, Google Sheets,
Google Slides, Word, Excel, Canva, PowerPoint and various common software packages
- Ability to use and navigate telephone and paging system
- Proficient in the use of a typewriter and calculator/10-key
- Proficient in the use of a copy machine.
- Proficient in the use of Best Notes Electronic Medical Records System
