Client Care Coordinator and Front Desk Associate

MOBO Med Spa Muskingum Valley is a state-of-the-art med spa service organization headquartered in Zanesville, Ohio and serving the counties of Muskingum, Morgan, Licking, Coshocton, Guernsey, Perry, and Knox. Our goal is to make medical spa services accessible, safe and convenient to a wider range of customers. We do this by offering services through our brick-and-mortar location as well as mobile parties and through relationships with small to mid-sized salons. Additionally, MOBO offers prescription grade skin-care products through these venues as well as online. As part of offering professional and medical grade skincare online, we on-occasion offer telehealth skincare assessments to our patients that wish to begin or continue a skincare regimen.

MOBO clinicians are expected to contribute to this environment while maintaining medical professionalism, patient privacy, following standard precautions, and ensuring quality care. MOBO’s core services include cosmetic injectable services, chemical peels, microneedling, laser services, weight loss (both virtually and in person), hormone replacement, skincare assessments and other services. MOBO staff are also highly involved in patient education, sales and event coordination. They also provide back-end business support for our franchised locations.
Job Description:
We are looking for a qualified candidate to manage front-of-house operations and coordinate the entire patient experience. This part-time role (15-30 hours per week) will be a hybrid position, with both onsite and remote/on-call responsibilities for phone support, scheduling, and administrative tasks. Hours may vary each week, and the position requires flexibility to work 1-2 weekend days per month, as needed.
Responsibilities:
- Coordinate the Patient Experience: Oversee the patient journey from initial inquiry to post-visit follow-up.
- Front Desk & Phone Support: Manage phones, greet patients, and handle lead follow-up at the Zanesville office, as well as inbound scheduling requests from branch locations (e.g., off-site salons).
- Patient Consultation: Provide pre- and post-appointment consultations, educate patients, and promote cross-selling opportunities for commission. Assist with post-care instructions and re-booking.
- Route Inquiries: Direct patient inquiries to the appropriate team members for timely resolution.
- Ensure Compliance: Support documentation and charting to maintain compliance and accuracy.
- Room Turnover: Prepare rooms for the next patient between appointments.
- Opening/Closing Duties: Perform opening and closing tasks when on-site.
- Point of Sale & Checkout: Process patient payments, log reward points and rebates, and manage payment plans at checkout.
Growth Opportunities: The ideal candidate will have the chance to expand into other roles within the organization, including management, esthetician services, and advanced care roles, as certifications and training allow.
Additional Responsibilities: Take on special projects as assigned.
Requirements:
- Customer Service Skills:
- Strong communication and interpersonal skills.
- Professional and friendly demeanor, both in-person and over the phone.
- Multitasking & Organization:
- Ability to handle multiple tasks (phones, scheduling, patient consultations) efficiently.
- Detail-oriented with excellent time management skills.
- Patient Care & Education:
- Experience or ability to explain post-care instructions and educate patients.
- Comfortable identifying and communicating cross-selling opportunities for commission.
- Technical Proficiency:
- Strong computer skills, including familiarity with point-of-sale systems and scheduling software.
- Comfortable with basic office technology (email, document management, etc.).
- Social Media Understanding:
- Knowledge of social media platforms (Facebook, Instagram, etc.) for patient engagement and promotion.
- Team Collaboration & Problem Solving:
- Ability to work with team members and direct patient inquiries appropriately.
- Strong problem-solving skills in patient interactions.
- Flexibility & Reliability:
- Willingness to take on special projects and perform opening/closing duties.
Additional Requirements:

Preferred:
-Experience: Healthcare experience is REQUIRED. Med spa, beauty, or wellness industry experience is a plus.

In this role you will receive:
- Competitive hourly rate: $15/hr
- 10% commission on products sold
- Paid Trainings (please note that any required certifications, licenses and initial trainings are funded by MOBO Med Spa Muskingum Valley; a reimbursement of these items will be required if you depart from the company within one year of training completion)

Pay: $15.00 - $20.00 per hour
