About Job

As Front Desk Staff/Patient care coordinator at our high-end dental office, you will play a crucial role in creating a positive and welcoming environment for our patients. You will be responsible for delivering exceptional customer service, managing administrative tasks efficiently, and ensuring the smooth operation of the front desk. Your professionalism, strong communication skills, and attention to detail will contribute to the overall success and reputation of our dental practice.

Responsibilities:

Patient Relations: Greet patients warmly and make them feel comfortable and valued upon arrival.
Provide excellent customer service by addressing inquiries, concerns, and scheduling appointments with a friendly and helpful demeanor.
Maintain a professional and friendly attitude while interacting with patients, ensuring a positive experience throughout their visit.

Appointment Scheduling and Coordination: Manage the appointment schedule effectively, ensuring optimal patient flow and minimizing wait times.
Coordinate with dental staff to schedule and confirm appointments, making adjustments as necessary.
Efficiently handle appointment cancellations, rescheduling, and follow-up to ensure the appointment book is accurately maintained.

Administrative Duties:

Handle patient registration, update personal information, and verify insurance coverage.
Collect and process patient payments, ensuring accuracy and confidentiality.
Maintain patient records in a secure and organized manner, adhering to all privacy regulations.
Manage correspondence, including phone calls, emails, and mail, promptly and professionally.

Office Operations: Monitor office supplies, ensuring an adequate inventory at all times.
Coordinate with vendors and service providers to ensure smooth operation of equipment and systems.
Collaborate with the dental team to maintain a clean and organized reception area and waiting room.

Insurance and Billing: Verify insurance coverage and process insurance claims accurately and efficiently.
Communicate with insurance companies to resolve any claim discrepancies or issues.
Assist patients in understanding their insurance benefits and financial obligations.

Qualifications:

  • High school diploma or equivalent; additional education in office administration or related field is a plus.
  • Proven experience as a receptionist or in a customer service role, preferably in a dental or medical setting.
  • Familiarity with dental terminology, procedures, and insurance processes is highly desirable. But training will be provided.
  • Strong interpersonal skills with the ability to communicate effectively and professionally with patients, colleagues, and vendors.
  • Excellent organizational skills and attention to detail, ensuring accurate record-keeping and administrative tasks.
  • Proficiency in using dental practice management software, scheduling systems, and standard office software.
  • Ability to multitask, prioritize responsibilities, and handle a high volume of patient inquiries efficiently.
  • Professional and friendly demeanor, maintaining confidentiality and displaying empathy towards patients.

Work hours are: Monday 8am-4:30, Tuesdays 8am-4:30pm, Wednesday 9:30am-7pm, Thursdays 11:30am-7pm. These hours are NOT negotiable. Please DO NOT APPLY if the hours do not work for you.

Job Types: Full-time, Part-time

Pay: $24.00 - $28.00 per hour

Expected hours: 30 – 35 per week
