Job Description – Patient Care Coordinator (Front Desk)
Milan Medical Group – Urgent Care, Family Practice, Chiropractic & Regenerative Medicine
We are seeking a full-time Patient Care Coordinator to join our team at Milan Medical Group. While this position is primarily for our Chiropractic and Regenerative Medicine group, the employee will also be cross-trained in our Urgent Care and Family Practice processes. This role is essential in creating a welcoming environment for patients, managing front desk operations, and ensuring smooth communication between patients, providers, and staff.
Key ResponsibilitiesPatient Reception & Check-In
- Greet all patients and visitors warmly and professionally.
- Verify and update patient information, insurance, and identification.
- Process check-in/check-out efficiently to maintain accurate wait times.
- Collect co-pays, time-of-service payments, and balance the cash drawer daily.
- Direct patients to appropriate services (Urgent Care, Chiropractic, Regenerative Medicine, Physical Therapy, etc.).
Phone & Communication Management
- Answer and route incoming calls promptly with a professional greeting.
- Provide accurate information without offering medical advice.
- Accurately document and deliver messages to staff/providers.
- Schedule and confirm appointments.
Administrative & Clerical Duties
- Various Duties will be included and training as needed will be provided
Financial Responsibilities
- Collect patient payments at check-in.
- Balance daily transactions and prepare deposits.
- Accurately log financial records for supervisor review.
Front Office Environment & Security
- Keep the reception area clean, organized, and welcoming (reading materials, play area, beverage station).
- Monitor patient activity in the lobby and report any safety or security concerns.
- Notify medical staff promptly if a patient shows signs of distress.
Qualifications
- High school diploma or GED required.
- At least 1 year of experience in medical reception, healthcare front office, or customer service.
- 2+ years of experience in chiropractic and regenerative medicine preferred.
- Experience with Electronic Health Records (EHR). (Nextgen Office preferred)
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Ability to remain calm and professional in high-pressure or emergency situations.
- Strong attention to detail and commitment to confidentiality.
- Positive, team-oriented attitude with outstanding customer service skills.
Compensation & Schedule
- Job Type: Full-time
- Pay: Starting at $18.00/hour (commensurate with experience)
