Title: Portfolio Management Client Care Coordinator
Location:  New York, NY 10022 
Duration: 6+ Month Contract 
Compensation: $26.00 - $28.25hr
Work Requirements: US Citizen, GC Holders or Authorized to Work in the US
  • Minimum 2+ years in an administrative capacity within a corporate environment required
  • Mon - Fri 8am -5pm  
  • Hybrid Schedule  
Overview
This person is responsible for supporting their manager and/or team as designated. They represent the manager/team to both external and internal clients, consistent with the culture of relationship management. They assist in keeping their manager/team informed through scheduling, reports, agendas, meetings, and other necessary tasks. Frequently, this person is responsible for the coordination of the "office," including logistics associated with conference/meeting rooms, mail, supplies, PCs, and follow-through on new hires or colleague support issues. This person often contributes to special projects, both recurring and one-time, to support the team.

Key Responsibilities
Team and Manager Support
  • Supports manager/team as assigned by keeping them informed of activities impacting the group.
  • Assists with scheduling, reports, agendas, or other activities as required.
  • Frequently interfaces with internal and external clients, exhibiting exemplary customer service in all interactions.
Office Coordination
  • Coordinates "office” functions and activities, including mail, phones, supplies, travel arrangements, equipment, facilities, paperwork, and other duties.
  •  Responsible for logistics such as conference/meeting rooms and follow-up for new hires or colleague support.
Project Management
  • Completes special projects as assigned.
  • Participates in temporary or permanent projects to support team objectives.
Administrative Duties
  • Utilizes word processing programs to create, revise, store, and print various documents as required.
  •  Inputs data into the computer system via terminal entry per established procedures.
  • Answers and screens incoming calls; forwards to appropriate personnel based on directory listings.
  • Makes and schedules appointments and meetings for assigned attorneys.
  • Opens, sorts, date-stamps, and distributes incoming mail.
  • Prepares outgoing mail through various systems (inter-office, USPS, etc.).
  •  Acts on incoming correspondence as directed by Supervisor.
  • Photocopies documents as required.
Reception & Logistics
  • Staffs and monitors front desk and main phone line.
  • Orders/tracks catering for client and executive meetings.
  • Processes T&E (Travel and Expense) for executive management as requested.
  • Forwards mail, fax, email, and phone correspondence to appropriate departments or individuals.
General Administrative Support
  • Provides general administrative support to a department or group of professionals with limited supervision.
  • Collects, compiles, and analyzes moderately complex data and information.
  •  Composes straightforward written descriptions of results.
Qualifications and Skills
  • Ability to exercise independent judgment and basic reasoning skills.
  • Excellent verbal and written communication skills.
  • Ability to effectively communicate with all levels of Bank personnel and customers.
  • Strong interpersonal and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
