About Job

The Admissions Counselor for the Washington Veterans to Technology (WaV2T) Program is responsible for recruiting, qualifying, enrolling, and supporting WaV2T students at the Schofield Barracks, Hawaii extension campus.

In this role, the Admissions Counselor collaborates with WaV2T faculty and staff, as well as departments at Saint Martin's University, to foster a positive admissions environment and deliver exceptional student support.

The Admissions Counselor liaises with external agencies such as the Department of Defense SkillBridge Program, the Army Career Skills Program (CSP), and the Department of Veterans Affairs (VA) to facilitate student enrollment in the WaV2T program. Additionally, the Admissions Counselor works closely with Career Development Managers to ensure seamless enrollment in Saint Martin’s University (SMU) classes via PowerCampus and addresses any issues that arise.

The Admissions Counselor also prepares regular data reports for the Director of the WaV2T program, providing insights on historical trends and enrollment statistics.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

  • Recruit and screen prospects for the WAV2T program, review prerequisite materials, and verify completion of application requirements
  • Willingness to travel to recruitment events across Hawaii, at both military and civilian events, along with possible outreach travel to Japan and Korea.
  • Conduct applicant interviews and make final admission decisions
  • Mentor and coach WAV2T applicants during the application process, serving as the primary point of contact for their concerns
  • Review and update application and admissions communications or materials as needed
  • Maintain effective and timely communications with prospective WAV2T students through Slate application tracking system
  • Implement emerging admissions testing and assessments as new pathways are established
  • Use query builder tools in Slate to create cohort-specific data reports and ad hoc reports and as needed
  • Purchase educational materials through vendors, manage inventory, and distribute to students
  • Track acceptances and confirmed enrollments, and oversee waitlist management in accordance with enrollment targets
  • Coordinate with the Director and Assistant Director of WaV2T Admissions as well as Assistant Director of Enrollment Systems to manage the Slate application database and provide accurate tracking and reporting of critical data points necessary for the success and strategic planning of the WaV2T program
  • Utilize PowerCampus to automate critical tasks and processes with WaV2T student records including course grades and transcripts
  • Administer customer relations and student records management software for WAV2T participants in Slate
  • Promote the program by attending CSP briefings and facilitating Career Skills Program and SkillBridge meetings as needed
  • Attend recruiting and outreach events hosted by CSP and SkillBridge partners as needed
  • Liaise with CSP and SkillBridge offices, Schofield Barracks personnel, and military education centers to support recruitment, maintain compliance, and keep stakeholders informed.
  • Coordinate with VA representatives and university departments (e.g., registrar, admissions, financial aid, public safety, IT, and student accounts) to ensure smooth admissions processes and compliance for students using VA educational benefits.
  • Engage with community partners and relevant organizations to support program objectives.
  • Ensure adherence to Department of Defense (DoD) Voluntary Education Partnership Memorandum of Understanding (MOU) and Department of the Army Memorandum of Agreement (MOA) Schofield Barracks and Saint Martin’s University
  • Perform other duties as assigned by the Director of Admissions
OTHER FUNCTIONS
  • Assist as needed in orientation events and graduation ceremonies.
  • Create queries, run reports, provide data to WaV2T leadership as required.

COMPETENCIES

  • Demonstrate strong multicultural knowledge, awareness, and skills needed to perform the tasks of promoting diversity and social justice.
  • Understand unique needs of transitioning military, veterans, and military spouses throughout the application process (e.g., various funding methods, transition windows, identify different military branch proof of service documents, etc.)
  • Knowledge of best practices related to supporting diverse student population, including students of color, students of diverse socioeconomic backgrounds, first generation students, students with disabilities, and other historically marginalized identities.
  • Is supportive of a Catholic, Benedictine philosophy of education and able to articulate and support the University’s mission statement.
  • Have a thorough knowledge of the WaV2T program, the application process and verification, Slate, and the general pathway learning objectives. Familiarity with Microsoft and Amazon Web Services course content.
  • Proficient in Microsoft Office Suite of applications (Word, Excel, PowerPoint, etc.)
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Strong leadership skills

REQUIREMENTS AND/OR CONDITIONS OF EMPLOYMENT

  • Must successfully pass a background check.
  • Preferred Bachelor’s degree
  • Preferred minimum of one year of experience in college admissions
  • Preferred minimum of one year working with military and military-affiliated students
  • Preferred minimum of one year of experience with military transition programs
  • Preferred proficiency in Slate or similar applicant tracking systems, with at least one year of experience.
  • Preferred minimum of one year using student records management software, such as PowerCampus.
  • Preferred minimum of one year of experience with student advising
  • Preferred minimum of one year of experience in recruiting and outreach
