Position Overview

The Patient Care Coordinator at Hear for You Hearing Aid Center plays a vital role in ensuring every patient receives exceptional service, care, and attention. Serving as both the welcoming face and voice of the practice, the Patient Care Coordinator is responsible for managing all aspects of patient interaction and communication, maintaining accurate records, supporting clinical operations, and contributing to the overall success of the practice. This role requires a compassionate, organized, and proactive individual who thrives in a fast-paced, patient-centric environment.

Key Responsibilities

· Greeting Patients: Warmly welcome patients both in person and over the phone, ensuring everyone feels valued and comfortable from their first point of contact.

· Scheduling Appointments: Effectively schedule patient appointments according to individual needs and provider availability, optimizing the daily workflow of the practice.

· Patient Communication: Serve as the primary point of contact for patient questions and concerns, providing clear, empathetic, and timely responses.

· Hearing Aid Support: Assist patients with basic hearing aid troubleshooting, addressing common issues and ensuring devices are functioning properly for continued patient satisfaction.

· Patient Recall: Proactively review patient records to identify and recall individuals overdue for follow-up visits or service appointments, fostering continued care and engagement.

· Sales Support: Collaborate with the team to contribute to the monthly sales goals of the practice.

· Administrative Duties: Perform general administrative tasks such as filing, data entry, managing patient records, handling correspondence, and supporting daily office operations.

· Practice Communications: Manage all communications with patients, including appointment reminders, follow-ups, and practice announcements across multiple channels (phone, email, mail, social media, etc.).

· Information Management: Ensure all office management systems and databases are kept up to date with accurate and confidential patient information.

Qualifications

· High school diploma or equivalent; post-secondary education in healthcare administration or related field is an asset.

· Prior experience in a medical office or patient-facing role preferred.

· Excellent verbal and written communication skills.

· Strong organizational and time management abilities.

· Comfort with technology and practice management software.

· Compassionate, patient-focused, and able to handle sensitive situations with professionalism and discretion.

· Team-oriented with a positive attitude and willingness to help wherever needed.

Job Type: Part-time

Pay: $15.00 - $25.00 per hour

Expected hours: 28 – 32 per week
