Position Summary
The Clinical Coordinator is a vital administrative role that supports the
delivery of high-quality mental health services across our expanding
organization. Under the supervision of the Clinical Care Manager, this
position ensures smooth coordination of client care, clinician support, and
documentation workflows.
The incoming coordinator will work in close collaboration with the existing
team and be cross-trained to provide coverage across all domains. As our
business continues to grow rapidly, this role will require adaptability,
initiative, and a commitment to continuous improvement in both client care
and provider support.
Core Responsibilities:
Client Coordination & Scheduling
- Receive client referrals and confirm appropriate treatment track placement.
- Schedule intake and follow-up appointments based on clinician availability and client needs.
- Monitor intake documentation to ensure all required forms are submitted in advance of appointments.
- Provide onboarding instructions to clients, including portal access.
- Track appointment outcomes and coordinate rescheduling when needed.
- Monitor therapy session counts to ensure alignment with assigned treatment tracks.
Clinician Communication & Documentation Support
- Notify clinicians of scheduled appointments and changes.
- Send reminders for timely submission of clinical documentation.
- Assist in reviewing clinician reports for completeness and professionalism; flag concerns to leadership.
- Assist in tracking practicum student documentation timelines and
- supervisory approval.
- Support periodic audits of clinician documentation to maintain compliance and quality.
Clinician Support & Team Communication
- Respond promptly and professionally to clinician questions or concerns.
- Attend monthly clinical team meetings and communicate relevant updates.
- Send monthly reminders or policy updates to clinicians.
- Provide backup support in clinician-facing responsibilities to ensure continuity of care.
Administrative Operations & Quality Tracking
- Distribute clinical assessments and manage corresponding documentation.
- Maintain accurate internal records and tracking logs.
- Respond to Clinical Support inquiries from clients and clinicians, troubleshooting issues as needed.
- Assist with the creation, revision, and maintenance of internal procedures and documentation standards.
- Collaborate with the Clinical Care Manager to improve workflows and ensure alignment with organizational goals and compliance standards.
