JOB DESCRIPTION
JOB TITLE: COMMUNITY RELATIONS
REPORTS TO: Executive Director
SUMMARY DESCRIPTION: Community Relations is responsible for managing the sales/leasing department, developing and implementing successful marketing plans as well as showing and leasing apartments to seniors 55 and older. In addition, Community Relations collaborate with colleagues in all departments and divisions of the company to promote and ensure exceptional customer service.
JOB STATUS: Full time, Exempt
HOURS: 40+ Hours and on call
Office Management
- Welcome and greet on-site visitors, determine nature of visit and direct them to appropriate staff/location
- Answer incoming calls, determine purpose of calls, and forward calls to appropriate personnel
- Will take and retrieve messages for various personnel
- Provide callers with information such as company address, directions to our location, fax numbers, website, and other related information
- Assist Executive Director with lease preparation, resident calls, covering the office and other job related tasks.
Team Leadership
- Supports the mission, vision, philosophies, policies, and goals of the organization.
- Be thoroughly familiar with all community policies and procedures; implement them as written
- Maintains a close working relationship with the Executive Director and other department leaders.
- Makes decisions and leads marketing team.
- Maintains good interpersonal relationships with his or her team, administration, resident, family members, other customers, department leaders and other staff members.
- Works as part of a leadership team collaborating on many projects.
Leasing Counselors
- Supervises and assigns the work of Leasing Counselors.
- Monitors the utilization of resident database to verify proper identification, tracking and follow up of potential residents.
- Monitors all work performed by Leasing Counselors to ensure performance fosters positive relationships with the Residents and Prospects and meets the standards of the Community.
- Make regular rounds of community to monitor tour route offers the best impression to potential residents and guests.
Internal and External Customers
- Develops and Implements an effective marketing plan for the community
- Utilizes marketing database to identify, track, and foster relationships with potential residents and generate traffic into the community.
- Actively participates in daily team meetings to communicate with appropriate staff members of projected sales calls, move ins and upcoming events to ensure participation as needed and completion of assistance.
- Markets externally by making person-to-person sales calls as goals indicate, and documents conversation details in software database.
- Responds to phone inquiries, obtaining needed information to document in database.
- Schedules appointments for potential residents and their family members. Conducts tours of community and answers questions accordingly.
- Schedules and supports lease signings once potential resident is moving into community. Completes initial paperwork to move new resident into community, ensuring all necessary paperwork is present and complete prior to move in.
- Maintains market-specific knowledge and updates; including, but not limited to, hospitals and competitors.
- Maintains current list of referral sources.
- Develops and maintains new relationships to encourage and result in referrals.
- Develops and implements special events to increase public awareness of and increase traffic into the community.
- Monitors trends for inquiry, deposits, move-ins, occupancy, closing and move-outs and lost leads. Consistently prepares and submits reporting tools and all reports accurately and timely.
- Communicates knowledge of community and industry trends to appropriate staff.
- Prepares and mails information packets to inquiries.

QUALIFICATIONS:
Required Education and Experience
- Associates or Bachelor’s Degree is sales/marketing or business is preferred.
- Three to five years experience in sales, preferably apartment leasing.
- Previous experience in senior living or health care sales and marketing is preferred.
Required Skills
- Effective oral and written communication skills and excellent interpersonal skills
- Basic computer skills including: data entry, email, attachments, Word documents and excel spreadsheets.
- Supervisory skills and the ability to direct Marketing and Leasing functions.
- Superior sales skills, preferably with experience selling to seniors and/or apartment leasing experience.
- Ability to set and meet sales goals.
- Administrative, management, and organizational skills.
Must be able to:
- Possess reliable transportation and a valid driver’s license.
- Must be able to work flexible hours, including evenings and weekends as needed.
- Exercise ethical and sound decision making and judgment.
- Utilize problem-solving skills.
- Communicate effectively and maintain good working relations with personnel in all facility departments, other health-related individuals, and community agency personnel.
Must be willing to:
- Keep abreast of current industry and market changes and standards.
- Attend approved professional meetings, workshops, and conferences related to assisted living and dementia care to meet continuing education requirements
- Learn and follow company policy and procedure
- Work weekends as needed
