Role Overview

Do you love animals and people? The Orange County Animal Shelter has an opening for a part-time Front Desk Customer Care position. The Customer Care Coordinator is our initial point of contact both in person and answering phone calls with the public. The responsibilities will vary based on the current needs of the shelter.

Role Description

  • Must be able to respond to and help those who are looking for their lost pet or needing to surrender their animal.
  • Will greet clients, give tours and counsel potential adopters to make the right adoption match.
  • Must be a team player and have excellent communication skills.
  • Under the direct supervision of the Animal Shelter Director, will be the primary contact for the agency’s communication initiatives (social media, newsletter, website) in coordination with the Communication Specialist.
  • Must be computer literate and learn our software to input animals and client’s information.
  • Will help ensure the lobby, meet & greet rooms and intake rooms are clean throughout the day.
  • Handle all animals properly and according to organization safety procedures.
  • Must be able to lift 50 pounds and be around cleaning and sanitation chemicals.
  • Must have a flexible schedule to work closing and weekend shifts.'

ESSENTIAL FUNCTIONS

Customer Service

  • Greet and assist all visitors, staff and volunteers in a professional, warm and positive manner
  • Responsible for engaging visitors, volunteers and adopters while executing the tasks critical to the day-to-day adoption program operations
  • Answer phones and email with helpful, clear and efficient information
  • Must know and understand our services and be able to communicate these clearly
  • Works closely with volunteers and other staff members and is passionate about YWAC’s purpose and mission
  • Provide post adoption support to adopters

Administrative

  • Follow the Shelter’s procedures, guidelines, and protocols for the safe handling of animals and customer service
  • Ensure that paperwork for all adoptable animals is accurate and properly maintained in hard copy as well as in the database
  • Cash handling and processing adoptions
  • Perform opening and closing duties included but not limited to: stocking supplies, reconciling reports, processing supplies and adoption transactions

Other Duties/Functions

  • Provide support to the Shelter team including, but not limited to:
  • Communicate regularly with supervisors and coworkers to ensure that they are aware of any issues pertinent to their areas of responsibility. Participate in staff meetings to share ideas and suggestions for improving animal care and the quality of the organization as a whole.
  • Work collaboratively with other departments and with volunteers.

WORK ENVIRONMENT/ EQUIPMENT USE

Indoors in a high noise air-conditioned/heated building, outdoors at shelter or on-location for various activities. This role routinely uses standard office equipment such as PC, printer, copy machine, fax machine, filing cabinets, telephone, as well as cleaning equipment and supplies.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; and taste or smell. The employee must occasionally lift or move up to 100 pounds with assistance. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. Regular exposure to animals and their bodily fluids, cleaning chemicals, fumes, dust, bites, and scratches. Duties are performed indoors in a high noise air-conditioned/heated building, outdoors at the shelter, or on-location for various activities. Must use self-care skills to combat compassion fatigue.

EDUCATION AND EXPERIENCE

  • Candidates must be 18 years or older.
  • High school diploma or equivalent is required.
  • Minimum two (2) years customer service experience is preferred.
  • Previous volunteer experience (with people or animals) preferred.
  • Strong proficiency with Microsoft Excel, PowerPoint, Word, Outlook is preferred.

SKILLS AND PROFICIENCIES

  • Work independently with minimal supervision.
  • Positive, optimistic outlook.
  • Ability to handle multiple tasks in a busy workplace environment.
  • Excellent organizational skills with a keen attention to detail
  • Understanding of animal behavior and/or common medical concerns.
  • Understanding of humane care and treatment of animals.
