Bloom Mental Health is a clinician-led outpatient psychiatry clinic in Littleton, CO, specializing in complex outpatient psychiatric concerns, including misophonia, treatment-resistant depression, anxiety, OCD, perimenopause and hormone changes, innovative collaboration with other specialties such as optometry, and treatment of neurodevelopmental disorders such as autism. In addition to top-tier care, we teach other providers, and are developing a clinical research program.

Why We Need You

As we expand and add staff and develop new services, we need an Office Manager who can:

  • Jump in hands-on – work the front desk alongside the team (phones, scheduling, insurance checks, supplies, 8 am-5 pm M-F with occasional after-hours urgent text/calls that average 1-2x/month). A major part of this job is working alongside the front desk to assist with these tasks.
  • Team lead for three admin staff – set schedules, coach for growth, and relay team needs to clinic leadership.
  • Own daily operations – track call stats, no-shows, office supply levels, and staffing coverage.
  • Drive continuous improvement – document SOPs, spot bottlenecks, and propose changes that help patients and clinicians.
  • Manage relationships - with our outsourced revenue cycle management company
  • Resolve concerns gracefully – be the cheerful point person for patient or staff complaints.

Key Responsibilities

A major part of this job is helping with front desk office activities, with team leadership duties in between.

  • Patient & Clinician Support – answer calls, send reminders, triage refill requests, and keep both patients and clinicians happy.
  • Team Leadership – train, review, and inspire admin staff while partnering with the CEO (direct supervisor) and Clinical Director (clinical liaison).
  • Revenue Cycle Management Liaison - manage relationship with outsourced revenue cycle management company
  • Facility Oversight – tidy lobby, restock snacks/supplies, file maintenance tickets, water plants, update emergency kits.
  • Compliance & Quality – guard confidentiality, update SOPs, run mock audits, and track KPIs.
  • Other Duties as Assigned – from research-study paperwork to event planning; we’re small and nimble, so your role will evolve.

Job Requirements & Preferences

  • Proven experience supervising a team in an office setting is highly preferred. We are looking for someone with experience helping develop office procedures, and with successful experience in staff management and basic HR functions.
  • High emotional intelligence; comfortable with neurodivergent and sensory-sensitive populations.
  • Confident, empathetic communication—can set respectful boundaries with patients in crisis.
  • On-site ≥ 4 days/week and reachable for urgent after-hours questions. After hours messages are typically for weather closure or unexpected staff illness/absence, and average about 1-2x/month. We do not expect you to come into the clinic after hours. This is mostly deskwork, with light lifting of office supplies (less than 25 lbs) and general office cleaning occasionally required.
  • Hands-on familiarity in building workflows/SOPs/KPIs. We use Excel/Sheets and Monday.com, and can train to these if needed.
