EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Two years clerical experience, preferably in a public education environment

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Facilitates the efficient operation of the school counseling office and provides clerical services to professional staff. Maintains current and accurate confidential student records.

ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Prepares requisitions, correspondence, and transcripts.
2. Creates new student files and ensures completeness and accuracy of records.
3. Assists with the registration of new students, including requesting and sending student records, setting up cumulative folders, and entering student data into appropriate databases or computer programs.
4. Serves as receptionist for counseling office.
5. Distributes materials to students, parents, and teachers as requested by counselors.
6. Assists counselors with scheduling appointments.
7. Receives, distributes, and ensures security and confidentiality of student records.
8. Assists the department with scanning of records and documents.
9. Implements and maintains electronic filing of student records of DocuWare.
10. Maintains the College and Career Center.
11. Participates as a member of the campus team in maintaining accurate records pertaining to the submission of campus data to Public Education Information Management System (PEIMS).
12. Maintains confidentiality of information.
13. Reports to work on time every day.
14. Performs additional duties and responsibilities as may be assigned.

QUALIFICATION REQUIREMENTS:
• Proficient typing and file maintenance skills
  • Effective organizational, communication, and interpersonal skills
  • Ability to use personal computer and software to develop spreadsheets and databases to do word processing
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions
  • Ability to deal with problems involving a few concrete variables in standardized situations
  • Valid Texas Driver’s License with driving record that meets the requirements of the District

PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to reach with hands and arms and taste or smell. The employee is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

The environmental characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
