POSITION OBJECTIVE:
The Intake Victim Advocate is responsible for coordinating intakes, greeting and assisting clients with scheduling appointments, providing information related to our counseling services and referrals, collecting funds for services, and tracking services through various database systems.
PRIMARY JOB RESPONSIBILITIES/DUTIES:

· Supervisory Responsibilities
o None
· Duties/Responsibilities
o Answer incoming telephone calls. Take clear messages for providers and other office staff.
o Manage and accept incoming and outgoing referrals. Refer clients to appropriate services at the Women’s Center and in the community.
o Assist walk-in victims of violence with questions and issues.
o Provide intake and assessment assistance to victims of violence.
o Schedule appointments while monitoring client flow and waiting room activity, and keep appropriate personnel informed of client flow issues.
o Responsible for check-in function which includes greeting and directing clients, answering all questions in a courteous and helpful manner within the scope of responsibility, obtaining signatures for all forms including assignment of benefits, notice of privacy, insurance waivers and authorization forms.
o Participate in trainings deemed necessary. Keep abreast of issues pertaining to interpersonal violence.
o Assist victims with Victim Compensation Claim form filing.
o Complete victim advocate training and provide initial victim advocate services as needed.
o Initiate appropriate communication with clinical teams based on the needs of referred individuals to facilitate appropriate referrals and/or services.
o Collect, verify, record, and process intake demographics, payment, and referral information.
o Create files for new individuals and ensure intake paperwork has been completed/requested.
o Manage all intake paperwork, identifying problems and resolving issues.
o Enter data to all required database systems, maintain prompt and accurate information.
o Provide statistical information to support all reporting requirements. Assure accurate tracking of services
o Handle routine requests for information. Ensures that all urgent messages are handled with priority per organizations protocol.
o Receive and distribute all mail as per organizations protocol.
o Provide training and oversight of volunteers.
o Assist in verifying and updating resource guides and counseling referral lists.
o Apply knowledge and understanding of programs, policies, procedures.
o Other duties as assigned by supervisor

PHYSICAL DEMANDS:
Physical demands include sitting or standing for extended periods of time, bending, and regular use of standard office equipment such as the telephone, copier, fax and computer. Demands also involve protracted concentration. Job involves frequent interactions with internal and external customers, and routinely intense public contact.
EDUCATION, EXPERIENCE & qualifications:
- Minimum AA Degree preferred
- Prior experience in health or medical office setting.
