Function:

This is a secretarial position of an administrative nature as well as a sales and marketing position. Employees in this class perform a variety of complex secretarial/clerical, and administrative duties requiring comprehensive knowledge of the software utilized by the team. The intake coordinator exercises independent judgment and action, including making frequent decisions in accordance with delegated responsibilities from assigned supervisor. Primary emphasis is placed upon ensuring that qualified candidates are admitted to BRH and maintaining a census as determined by the admissions team. An employee in this class receives guidance from the supervisor and is expected to exercise considerable tact, discretion, and judgment. The employee may be required to train other clerical personnel. This position requires teamwork and the ability to work well with others. This position requires customer service skills. Performance is evaluated periodically.

Responsibilities and Duties:

● Be familiar with what is involved in Detoxification (ASAM Level 3.7) and the fact that we offer medically assisted detoxification using the prescribed drug Ativan. Detoxification is generally 3-10 days and most clients stay five (5) days. Know that they are treated by a medical provider daily and have 24 hour nursing supervision.

● Be familiar with what is involved in the 14, 28 and 90 day residential program (ASAM Level 3.5) Clinically Supervised Residential Treatment. Understand the basics of the Living In Balance Curriculum, the client treatment programs schedule including family day and phone and computer use while in treatment.

● Be familiar with Medically Assisted Treatment through the use of Naltrexone, Vivitrol and Antabuse.

● Be Familiar with the difference in PHP (Partial Hospitalization) IOP Intensive Outpatient (with or without housing) and Outpatient services.

● Be familiar with the drug and alcohol testing and reporting requirements.

● Be familiar with assessments for Court and Driver License requirements

● Be familiar with what the housing accommodations are which include a 4 and ½ acre campus with client laundry, a common area, recreation areas, double occupancy rooms, food services, housekeeping and laundry. Clients are expected to help with clean-up of common areas, dishes, and the grounds. Clients clean their own rooms and bathrooms with cleaning supplies and clean linens provided.

● Be familiar with the ten (10) Medicaid regions (PHIP) and our current contract status.

● Be proficient with the Verification of Benefits process for commercial insurance

● Be proficient with the Veterans Outreach Process

● Be proficient with the Admission Approval Process including the Pre-qualifications, Pre-Screens and workflow for admission approval.

● Be proficient with the Intake paperwork and processing of a new client into detox or residential.

● Be proficient with KIPU, Pipe drive, Google Drive, Basecamp and Gmail.

● Be proficient with the operation of the phone system, fax system, and copier.

● Be familiar with SUD Substance Use Disorders and the Level of Care determination and the Shift Detox Notes for the progress through detoxification

● Be an excellent communicator in person and on the phone as well as using the tools of Gmail, Basecamp, Pipe Drive and KIPU to document your work

● Use compassionate call handling techniques to HELP the clients, understand the sales and represent BRH accurately to prospective clients, overcome last minute resistance and objections when it is in the client’s best interests to receive care from BRH

● Be flexible in scheduling to cover team members’ time off and the requirements of covering admissions without incurring unnecessary overtime.

● Be able to Farm and assignment to develop referral relationships designed to increase census.

● Provide excellent customer service with an attitude toward resolving issues and ensuring that complaints or concerns are timely addressed by senior leadership when necessary

● Understand the Financial Responsibility guidelines and how to determine client eligibility

● Understand the use of Promissory Notes, Pledges of financial Support, how to perform a credit check, how to take a credit application, the processing of credit cards, the safe handling of money, the processing of wage assignments.

● Understand the use of charitable scholarships and the BRH policy for providing grants, scholarships or reductions.

● Understand the process of obtaining a single service agreement for uncontracted Medicaid regions or clients who lack out of network benefits.

● Document metrics such as census, the sales timeline, the referral source and payor source as established by the admissions team.

● Be willing to advocate on behalf of a client for admission as well as understanding when the client must be placed elsewhere or denied admittance.

● Administer PBT’s and Urine Screens according to the intake procedures.

● Conduct Inventory Searches and Assist in Room Transfers from Detox to Residential.

● Accomplishes work responsibilities with minimal supervision.

● Knowledge and ability of record keeping methods, keyboarding and preparation of correspondents.

● Knowledge of the functions of the various parts of the assigned department.

● Knowledge of alphanumeric filing systems, inventory control methods and methods commonly used in the training for acquiring clerical skills.

● Excellent phone skills.

● Detailed note taker.

● Have a positive can do attitude

Physical Demands:

While performing the duties of this job, the employee is regularly required to stand; walk; use of hands and fingers to handle, or feel objects, tools, or controls; and talk or hear. The employee frequently is required to reach with hands and arms. The employee is required to be on his/her feet for extended periods of time.
