We are a passionate team dedicated to empowering people through therapy and advocacy, and we’re looking for an equally dedicated Intake Coordinator/Administrative Assistant to join us.The Intake Coordinator/Administrative Assistant plays a vital role as the first point of contact for clients seeking services at QWC and Amaryllis Counseling. This role requires empathy, strong communication skills, and cultural sensitivity, especially in serving members of the LGBTQ+ community. Key ResponsibilitiesServe as the first point of contact for potential clients via phone, email, and online inquiries with warmth, respect, and professionalism.Conduct intake screenings to assess client needs, demographics, and clinical concerns.Manage front desk operations including phone calls, emails, incoming/outgoing mail, and scheduling appointments.Provide accurate information about services, insurance, fees, and policies.Schedule intake appointments and assign clients to clinicians based on specialty, availability, and client preferences.Maintain accurate and confidential client records in the electronic health system (EHR).Communicate effectively and compassionately with LGBTQ+ clients, demonstrating understanding of identity-related and systemic challenges.Perform data entry, filing, and other clerical duties to support smooth office operations.Assist in organizing community events, trainings, and workshops.Maintain inventory and order office supplies.Serve as a point of contact for vendors.Maintain the office appearance and cleanliness, opening and closing of the office space when necessary.Provide general support to the Executive Director, Clinical Director, and therapy team.Uphold the center’s commitment to confidentiality, cultural humility, and LGBTQ+ affirmation.Collaborate with clinical staff to ensure smooth transitions from intake to ongoing care.Monitor and manage the client intake pipeline and follow up as needed.Ensure compliance with HIPAA and ethical confidentiality standards. QualificationsRequired:Minimum of 2 years of experience in healthcare, mental health, or social services (preferably in an administrative or intake-related role).Demonstrated cultural humility and experience working with LGBTQ+ individuals and diverse communities.Strong interpersonal and communication skills.Highly organized, detail-oriented, and able to multitask.Proficiency with electronic health records (EHRs) and basic office software (e.g., Google Workspace or Microsoft Office).Commitment to inclusive, trauma-informed, and client-centered care.Ability to work independently, as well as collaboratively in a small team. Preferred:Bachelor's degree in psychology, social work, human services, or a related field.Bilingual or multilingual (especially Spanish, ASL, or other languages commonly spoken in the community).Knowledge of common mental health diagnoses and terminology.Familiarity with HIPPA and client confidentiality practices. • Schedule: Monday-Friday 8:15-5:00pm with a 45 min lunch break
• Hourly Rate: $21 depending on experience
