Surrogate Intake Coordinator

Job Overview:

You’ll be the first voice many surrogates hear from us, so it’s crucial that you bring a warm, welcoming demeanor paired with an ability to clearly communicate the next steps. Work Schedule:

This is an hourly role, with set hours from Monday to Friday. You’ll work directly with your manager to ensure coverage that best supports our candidates. Flexibility around candidate availability and time zones may be necessary from time to time.


Team and Reporting Structure
:


You’ll report directly to the Intake Manager and work closely with the entire outreach and intake team to ensure a smooth process for every surrogate who comes through our doors.

Job Requirements:


Technical Requirements:


  • Excellent communication skills, both written and verbal, with a comfort level in phone and video conversations. You’ll be doing most of your work through voice-based communication, with text and email as support tools.
  • Empathy and patience with candidates, ensuring they always feel heard, respected, and understood.
  • Strong organizational skills and attention to detail, able to juggle multiple tasks and deadlines without missing a beat.
  • Experience as a surrogate or knowledge of the surrogacy industry is a plus.
  • Solid understanding of the surrogacy process, including medical and legal concepts.
  • Proficiency with CRM systems and office software.
  • Minimum of 1 year in an intake coordinator role or similar experience.

  • You’re approachable, compassionate, and ready to help others. Every candidate deserves to feel supported and valued, no matter where they are in the process.
  • High standards of professionalism, particularly when handling sensitive information.
  • You’ll help candidates feel confident, informed, and supported at every stage of the intake process.

Key Responsibilities:

  • Screen candidate profiles for potential issues, such as BMI, medical history, and mental health, before calls to ensure informed conversations.
  • Keep accurate and up-to-date notes on candidate interactions in the CRM system.
  • Educate candidates during screening calls, explaining the next steps in the process and helping them complete the self-application.
  • Review and edit candidate profiles to ensure accuracy and presentation before submission for agency review.
  • Facilitate preparation of candidate profiles for agency presentation and next steps.
  • Personalize email and text templates to maintain a personal touch in all communications.
  • Provide surrogate support through our Team Support App, addressing higher-level concerns as needed.
  • Manage a busy schedule of calls and screenings, ensuring a smooth experience for applicants.
  • Build meaningful, lasting relationships with candidates through consistent and personalized communication.
  • Perform additional tasks as assigned by management, with full training provided.


Pay & Benefits:


  • Hourly Rate: $22–$26.45, based on experience
  • 401(k) plan with 100% company match up to 4% of pay
  • Medical benefits after 60 days (company covers 50% of premiums)
