About the job

As part of our Patient Experience and Care team, this role as a Patient Care Coordinator would be responsible for how our patients experience our care outside of the office, the moment they walk in the door, and even through their post-operative care. This involves responsibilities such as managing phone calls, emails, and text messages from leads, screening leads and managing consults, scheduling surgery, contacting patients after surgery and creating and sending materials to patients. We expect this person to maintain a thorough and comprehensive attention to detail to how our patients experience our office, understand the high value of our offering, and communicate with our team.

Job Requirements

· Provide leads with detailed information about surgical procedures, including risks, benefits, and expected outcomes.

· Manage all surgical leads, filtering bad vs. good, ensuring each lead receives comprehensive information about their surgical experience.

· Schedule and coordinate consults, lead the consultation process, while working closely with the doctor to identify the best procedures for each patient’s concerns and desired results

· Build strong relationships with patients, ensuring they feel valued and understood throughout their experience.

· Patient Management: Manage patient interactions from initial contact through to booking surgery and taking payment.

· Manage hundreds of leads weekly and handle 40-60 consults per month, ensuring high-quality patient interactions and outcomes.

· Foster trust through transparent communication, empathetic interactions, and consistent follow-up.

· Credential the doctor to potential patients, highlighting qualifications and experience to build trust and credibility.

· Build and support the front desk and surgical team, fostering a collaborative and efficient working environment.

· Have a thorough understanding of the entire front desk process and surgical process to ensure seamless patient experiences.

· Continuously seek ways to improve efficiency and patient care processes.

Qualifications

  • Bachelor's degree preferred
  • Excellent reception and management of phone calls, always sounding positive and upbeat throughout the process with patients
  • Experience in medical field, administration and customer care
  • Excellent verbal and written communication skills are essential for interacting with patients and medical staff
  • Strong organizational and multitasking abilities are needed to manage appointments, patient records, and other administrative tasks.
  • Ability to build rapport with patients, provide reassurance, and handle sensitive information with discretion and empathy.
  • Proficiency with electronic health records (EHR) systems, scheduling software, and other healthcare-related technologies preferred.
  • Ability to handle patient concerns, schedule changes, and other issues efficiently and effectively.
  • Understanding of medical terminology, especially related to facial plastic surgery, is highly beneficial.
