Who We’re Looking For

We are seeking a Front Desk Admin / Patient Care Coordinator who thrives in a people-first, high-energy, and growth-driven environment. This is not your average receptionist role. You will be the first point of contact for new and existing clients and the heartbeat of our clinic’s operations. You must be passionate about helping people, eager to grow professionally, and ready to deliver 5-star experiences that leave lasting impressions.

Key Responsibilities

  • Greet all patients, visitors, and clients in person and over the phone with warmth, confidence, and a smile
  • Schedule and manage appointments with precision and efficiency using our EMR system
  • Collect new client and payer information and ensure accurate data entry and documentation
  • Take payments, manage payment plans, and explain our cash-based service model clearly
  • Convert warm leads into paying clients through value-driven sales conversations
  • Ensure 90%+ attendance rates through proactive follow-ups and reactivation calls
  • Maintain 80%+ referral follow-through to the initial visit
  • Consistently achieve 50%+ conversion rate on incoming leads
  • Handle inquiries and objections about cost and insurance with grace and clarity
  • Engage prospective clients in meaningful conversations to help them understand how our services can change their lives
  • Support clinic operations and step into other roles when necessary to keep things running smoothly

  • Willing to make and receive 15-30 minute calls to build trust and close sales
