Position Overview
We are looking for a responsible and caring Patient Intake & Administrative Coordinator to join our team. This individual will be the first point of contact for clients and families, handling patient intake, directing staff, coordinating tours, and ensuring deadlines are met for various projects. The ideal candidate must be bilingual (English & Spanish), possess a positive attitude, and have a flexible schedule to attend occasional community events outside of regular business hours.
Key Responsibilities:
- Manage the patient intake process, including collecting required documentation and verifying eligibility
- Answer and direct phone calls, providing excellent customer service to families and community partners
- Conduct facility tours for potential clients and families, showcasing our services
- Coordinate and direct staff members to ensure smooth daily operations
- Follow up on potential leads, scheduling tours and assisting with the enrollment process
- Ensure projects are completed by set deadlines
- Assist in event planning and attend occasional community events (some outside of business hours)
- Maintain accurate records and assist with administrative duties as needed
Requirements:
- Bilingual (English & Spanish) – REQUIRED
- Previous experience in patient intake, administrative coordination, or a similar role preferred
- Strong organizational and multitasking skills with attention to detail
- Excellent verbal and written communication abilities
- Positive and professional attitude toward staff, clients, and families
- Ability to work a flexible schedule to meet business and community engagement needs
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software
- High school diploma or equivalent
