What would a typical day look like?
As the Service Coordinator/Office Administrator at Sound Specialists your time will be spent ensuring our clients receive a world-class service and support experience 100% of the time. This will include working extensively within a suite of service tools that we have implemented, including Slack and MS Teams for communication and Zendesk for ticket-tracking (don’t worry, we’ll train you on these tools). You will be responsible for ensuring follow-through in a timely manner, coordinating and scheduling resources, and staying in close communication with our clients throughout the process. Are you a pro at dotting your i’s and crossing your t’s? Great! We’ll rely on you to give our technicians friendly reminders on things like entering time and jotting down notes for jobs.
While about 60 percent of your role will involve service coordinating tasks and projects, the other portion of your role will be focused on general office administrative tasks. You will be responsible for answering phones, greeting clients, billing, maintaining office supplies, managing appointments and meetings, as well as following up on RMA’s and open orders.
This role is absolutely critical in keeping our service and office functions organized and moving in the right directions. Some days, your daily work will be planned and structured. However, ours is a fast-moving and dynamic line of work. Your priorities can shift at a moment’s notice. You must be comfortable with this and willing to be an active participant in juggling multiple demands.
You will always be expected to treat our clients with patience and friendliness no matter how big or small their issue. We pride ourselves on our white glove service, so it is of the utmost importance that you be willing and able to serve as a helping hand for our clients in their moment of need.
What should you bring to the table?
- 1-3 years in a high-end customer-facing service role preferred;
- A high school degree or GED equivalent;
- Absolute dedication to details and follow-through.
- Strong command of computer and software skills
- Patient and friendly personality at all times. In other words, we’re looking for a genuinely good human who enjoys talking with others.
- Excellent communication skills – both verbal and written.
- An innate confidence when speaking with clients. In other words, are you able to respectfully say no to a client when necessary?
- Resourceful and willing to patiently work through challenging situations;
- Ambition to strive for 100% client satisfaction at all times;
- Experience in the home technology business is a plus, but not a requirement
