At Midland States Bank, base salary is one component of our Total Rewards program. Exact compensation is determined by factors such as (but not limited to) education, skills, internal equity, and experience. This position offers additional compensation in the form of short-term incentives (i.e. bonus and/or commission) and may include long-term incentives (i.e. stock awards). Benefits for this role include comprehensive healthcare, well-being benefits, paid family leave as well as generous paid time off. Total Rewards also include banking perks, an Employee Stock Purchase Plan, 401K plan with company match and may include the opportunity to participate in our Non-Qualified Deferred Compensation plan. Incentives and benefits are subject to eligibility requirements.

Salary Range: $59,000-$73,000

Position Summary

The Employee Relations Specialist supports the Employee Relations function and risk management frameworks within Human Resources (HR). This role is responsible for handling foundational employee relations matters, escalating more complex matters within the HR team, and executing compliance-related tasks. This position serves as a point of contact for employee questions, manages routine processes such as exit interviews and template-based disciplinary documentation, and supports audit and risk management activities.

Primary Accountabilities

  • Conducts initial intake on employee relations concerns, including complaints, lawsuits, and other types of workplace conflicts.
  • Provides front-line support to employees by answering questions on HR practices, policy, and procedures through email, phone call and in-person. Refers complex or sensitive issues to senior team members.
  • Drafts and processes routine disciplinary documentation using standard templates for issues such as attendance, phishing response, and minor policy infractions.
  • Communicates with employees through active listening, coaching, and feedback regarding workplace concerns.
  • Conducts exit interviews and exit surveys as well as stay interviews to gather feedback and support retention efforts.
  • Drafts documentation under guidance related to employee performance, attendance, conduct and other issues.
  • Analyzes employee relations data to identify trends and assist in issue resolution and strategic planning.
  • Reviews annual changes in employment law and assist in identifying and surfacing relevant updates to the ER team.
  • Assists with reviewing and updating HR procedures to ensure accuracy and compliance.
  • Performs quality control reviews on payroll changes and other employee transactions.
  • Supports internal audits related to telecommuting, I-9 compliance, required absences, and other HR-related risk items.
  • Maintains accurate records in employee relations tracking tools and support documentation management.
  • Provides administrative support to the organization’s talent review and succession planning activities.
  • Works well in a highly collaborative, matrixed organization where relationship building is a key to success.
  • Maintains meeting agendas and take minutes for the HR Change Advisory Board.
  • Assists with vendor management tasks including requesting documentation, maintaining records, and tracking vendor status.
  • Supports audit responses, control register maintenance, and other compliance activities.
  • Participates in other administrative duties and projects in support of the employee relations and risk management functions.
  • The role requires occasional travel for training and team meetings, and willingness to travel periodically, to locations within market as needed.
  • May require work in a Midland office to ensure collaboration and support of internal and external customers.
  • Maintain compliance with all applicable regulations including, but not limited to, the Bank Secrecy Act (BSA).
  • Other duties as assigned.


Position Qualifications

Education/Experience:

  • Bachelor's degree, preferably in human resource management or related field or equivalent combination of education, training, and experience.
  • 1-3 years of Human Resources experience required; employee relations experience preferred.
  • Ability to navigate and lead difficult conversations with managers and employees in a constructive and professional manner.
  • Basic knowledge of employment laws and HR practices.
  • Strong interpersonal skills.
  • Strong oral, written, and interpersonal communication skills.
  • Strong organization and time management skills.
  • Strong attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Proficient with Microsoft Office Suite or related software.
  • SHRM Certified Professional (SHRM-CP) credential preferred.
