About Job

The Service Coordinator position is responsible for communicating with customers and coordinating the day-to-day activities of the service technicians, scheduling service calls, collaborating with sales engineers, manufacturers and customers. This role will also perform the administrative functions of updating and maintaining customer and job information, invoice preparation, and accounts receivable follow-up.

The Successful Candidate Shall Have The Following Traits

  • Excellent communicator with attention to tasks, details, procedures, and specific job requirements
  • Function in a fast-paced environment with shifting priorities and deadlines
  • Ability to deal with a variety of tasks at the same time
  • Continuous follow-up to assure tasks are being completed and new issues are addressed in a timely manner.

Skills And Qualification Requirements

  • Three to five years related work experience in coordination and scheduling service calls plus manpower planning for a service organization.
  • Ability to effectively communicate and follow up with contractors/customers in a busy service business.
  • Demonstrated ability to simultaneously handle a large and diverse number of service activities where tact and cooperation are crucial.
  • Ability to work independently in a self-directed mode to meet defined goals and customer objectives. Familiarity with PC based applications such as MS Office (MS Word, Excel, PowerPoint).
  • HVAC industry experience preferred.

Job Responsibilities

  • Manage calls from internal/external customers and make dispatch and scheduling decisions to meet
  • customer requirements.
  • Utilize customer service and PC skills to professionally and proficiently manage customer contact and job information in Service Management database to meet performance expectations.
  • Assists the field in coordination of materials, equipment rentals, or contractors to expedite scheduling of jobs to allow the main field focus to be on project execution.
  • Review job documentation for accuracy and bill customer on a timely basis. Assist in the preparation of monthly reports
