College Counseling Office Manager, Testing Coordinator, and Registrar

The Episcopal Academy seeks an organized and detail-oriented College Counseling Office Manager, Testing Coordinator, and Registrar to join our College Counseling Department. Reporting to the Executive Director of College Counseling, this full-time, year-round role is ideal for someone who thrives in a dynamic school environment and is passionate about supporting students, families, and educators through excellent systems and communication.
What You Will Do
This multifaceted role supports the success of our college counseling program through office management, coordination of standardized testing, and oversight of academic records. The ideal candidate is a proactive problem-solver, highly proficient in database systems, and comfortable navigating complex processes while maintaining excellent communication with students, families, faculty, and external partners.
Office Management:
- Maintain and audit student data in college and career readiness platforms and student information systems.
- Generate reports for internal stakeholders and support external reporting requirements.
- Schedule and coordinate all college counseling events and admission representative visits.
- Provide logistical and communication support for college seminars, fairs, and programming.
- Assist with office operations, reimbursements, and parent/student communications.
Testing Coordination:
- Serve as the school's official College Board testing coordinator.
- Manage AP and PSAT registration, materials, staffing, and administration in accordance with College Board policies.
- Collaborate with faculty, Students with Disabilities Coordinator, and IT for test setup and accessibility needs.
- Oversee National Merit communication and coordinate with test prep partners.
Please Note: Per College Board regulations, the Testing Coordinator cannot (1) serve in the role during any year in which a household or immediate family member is taking a College Board exam, or (2) be employed by a test prep company or provide coaching related to College Board test content.
Registrar Duties:
- Maintain all academic records for current students and alumni in the student information system.
- Prepare and transmit transcripts for college admissions, scholarships, and the NCAA.
- Ensure the accuracy and completeness of academic records and legacy data.
About You
The ideal candidate for the College Counseling Office Manager, Testing Coordinator, and Registrar to join our College Counseling Department at The Episcopal Academy will possess the following:
- Bachelor's degree from an accredited institution required.
- Experience managing databases (Veracross and MaiaLearning preferred).
- Office management experience, ideally in an educational setting.
- Advanced proficiency in Google Workspace (Docs, Sheets, Forms, Slides).
- Excellent organizational, communication, and interpersonal skills.
- Meticulous attention to detail and a commitment to confidentiality.
- Ability to manage multiple priorities and meet tight deadlines.
