About Job

Overview
The Care Coordinator plays a vital role within CALM, responsible for managing daily client and technician operations, assisting with intake and scheduling, and providing session coverage when needed. You are the liaison between families, techs, and the assigned BCBA. The Care Coordinator also plays a direct role in helping the BCBA complete assessment by conducting structured parent interviews and gathering intake data.

Duties

  • Serve as the primary point of contact for technicians, parents, and the BCBA by addressing inquiries and providing information about services.
  • Support orientation and onboarding for new BTs and clients
  • Conduct parent/caregiver interviewd during the intake or assessment periods.
  • Maintain accurate and up-to-date patient records, including medical histories and treatment plans.
  • Help complete intake paperwork abd gather background history for the BCBA.
  • Assist in the management of insurance claims and authorizations as needed.
  • Prepare and organize materials (data sheets, visuals, token boards, etc.)
  • Provide session coverage when cancellations occur or when the client's technician in inactive.
  • Monitor RBT/BT compliance (session notes, hours, etc.)
  • Assist with authorization tracking and reauthorization deadlines.
  • Communicate proactively with the BCBA in client updates or concerns.
  • Educate families/RBTs on procedures, treatments, and follow-up care instructions.
  • Ensure compliance with all regulatory requirements and organizational policies.

Qualifications

  • 6+ months experience in ABA, healthcare coordination, or behavioral services
  • BCBA candidate, RBT preferred
  • Excellent communication and organizational skills
  • Comfort with parent interactions, documentation, and scheduling software
  • Tech-savvy and detail-oriented
  • Reliable transportation and willingness to travel within Maryland
