Position Summary: The Front Desk Receptionist is the welcoming face and organizational backbone of our medical practice. This role is crucial for creating positive patient experience from the moment they contact us, ensuring smooth administrative operations. The ideal candidate will be highly organized, empathetic, possess exceptional communication skills, and thrive in an environment that prioritizes patient care and clear financial understanding.
Key Responsibilities:
Patient Welcome & Check-in/Check-out:
- Warmly greet patients and visitors, ensuring a welcoming and comfortable atmosphere.
- Prepare and process patient check-in. Accurately verify patient demographics, contact information, and medical history upon arrival.
- Assist patients with completing necessary forms and paperwork, ensuring all required documentation is on file.
- Schedule, reschedule, and confirm patient appointments efficiently, managing the provider's calendar to optimize patient flow.
- Prepare and process patient check-out, scheduling follow-up appointments and providing any necessary post-visit instructions or referrals.
- Communication & Patient Support:
- Answer incoming phone calls professionally and courteously, addressing inquiries, scheduling appointments, and directing calls to appropriate staff members.
- Respond to patient emails and voicemails in a timely and helpful manner.
- Serve as the primary point of contact for patient questions regarding appointments, billing, and practice policies.
- Maintain strict patient confidentiality in accordance with HIPAA regulations.
- Address patient concerns or complaints with empathy and problem-solving skills, escalating to management when necessary.
- Notify patients promptly of any changes to appointment times or provider schedules.
Required Skills & Qualifications:
- Bilingual candidates are encouraged to apply to enhance communication with diverse clientele.
- High School Diploma or equivalent.
- Minimum of three years of experience as a front desk receptionist, preferably in a medical or healthcare setting.
- Exceptional verbal and written communication skills, with a professional and empathetic demeanor.
- Proficiency in using electronic health record (EHR) systems and scheduling software.
- Strong organizational skills and meticulous attention to detail.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Excellent customer service skills with a patient-first approach.
- Knowledge of medical terminology and HIPAA regulations.
- Ability to remain calm and professional under pressure.
Job Type: Full-time
Pay: $30.00 - $35.00 per hour
Expected hours: 40 per week
