Job Description

An Automotive Service Appointment Coordinator's main role is to manage and schedule service appointments for customers. This includes answering phone calls, collecting customer and vehicle information, scheduling appointments, and coordinating with service advisors and technicians to ensure a smooth service process. This is a Full Time position M-F 8am-5pm and rotating Saturdays 9am-2pm.


Salary: $35000.00 - $50000.00 per year

Responsibilities


Key Responsibilities:


Scheduling and Coordination:


Taking inbound calls and scheduling service appointments.


Coordinating appointment dates and times with dealership hours and technician availability.


Confirming appointments with customers.


Managing cancellations and rescheduling.


Customer Service:


Answering customer inquiries and addressing complaints.


Providing updates on service status.


Data Management:


Entering customer and vehicle data into the dealership database.


Maintaining accurate records of service requests and work orders.


Communication:


Liaising between customers and technicians.


Notifying service advisors of incoming work and changes in scheduling.


Providing updates on service status to customers.


Other Duties:


May include general office tasks like faxing, copying, and filing.


May be involved in collecting payments and closing repair orders.




Requirements


Required Skills and Qualifications:


Customer Service Skills: Excellent phone skills, ability to handle inquiries professionally and courteously.




Communication Skills: Clear and concise communication, both verbally and in writing.




Organizational Skills: Ability to manage multiple tasks and prioritize workload effectively.




Technical Skills: Familiarity with dealership software and database systems.




Teamwork: Ability to work collaboratively with other team members, including service advisors and technicians.




Basic Computer Skills: Proficiency in using computers for data entry and communication.




High School Diploma or GED: While not always explicitly required, a high school diploma or GED is often a minimum requirement.




Understanding of the Automotive Industry: While not always a strict requirement, a basic understanding of the automotive industry can be beneficial.
