Essential Functions:

  • Serve as the primary point of contact for patients, ensuring a positive experience from appointment scheduling to post-treatment follow-up.
  • Coordinate patient care by managing appointments, treatment plans, and communication between clinical teams and patients.
  • Assist patients with understanding their treatment plans, costs, and payment options, ensuring clarity and satisfaction.
  • Facilitate patient check-ins check-outs and ensure all necessary forms and documentation are completed.
  • Manage patient records, maintaining accuracy and confidentiality in compliance with HIPAA regulations.
  • Assist with billing, insurance verification, and claims, providing patients with clear guidance on payment options.

Key Responsibilities:

  • Patient Management
  • Greet patients and assist with check-in and check-out processes, ensuring a smooth experience.
  • Coordinate and schedule patient appointments, follow-ups, and treatments.
  • Communicate with patients to confirm appointments and provide pre-treatment instructions.
  • Ensure patient records are up-to-date and accurate, including personal details, medical history, and insurance information.
  • Act as a liaison between patients and the clinical team, relay patient concerns or questions, and coordinate care.
  • Follow up with patients after procedures to check on their recovery and address any questions.
  • Treatment Coordination
  • Assist patients in understanding their treatment plans, explaining procedures, timelines, and expected outcomes.
  • Provide patients with detailed cost estimates, explaining insurance coverage and out-of-pocket expenses.
  • Facilitate communication between dentists, hygienists, and specialists to ensure seamless patient care.
  • Help patients navigate post-treatment care instructions and manage future treatment schedules.
  • Billing and Insurance
  • Verify patient insurance information and coordinate with insurance companies for pre-approvals or claims processing.
  • Assist patients with billing inquiries, explaining charges, payment options, and financing if needed.
  • Handle patient payments, process copays, and set up payment plans when applicable.
  • Track and follow up on outstanding patient balances and unpaid claims.
  • Administrative Support
  • Maintain an organized and efficient system for scheduling, record keeping, and patient communications.
  • Assist with front office duties such as answering phone calls, handling inquiries, and managing office supplies.
  • Ensure compliance with HIPAA regulations and office protocols for patient data confidentiality.
  • Work closely with office staff to ensure daily operations run smoothly and patient needs are met.

Education and Certification Requirements:

  • High school diploma or GED required; associate’s or bachelor’s degree in healthcare administration or related field preferred.
  • 2+ years of experience in a patient care, customer service, or administrative role in a dental or medical office setting.
  • Knowledge of dental office procedures, patient scheduling, billing, and insurance.
  • Proficiency in dental practice management software and Microsoft Office Suite.
  • Strong interpersonal and communication skills, with the ability to build positive relationships with patients and staff.
  • Excellent organizational and multitasking skills, with attention to detail.
  • Ability to explain treatment plans, financial options, and insurance details clearly to patients.
  • Familiarity with HIPAA regulations and patient data management practices.
