The Client Services Coordinator plays a crucial role in supporting the sales team by ensuring accurate order processing, exceptional customer service, and seamless execution of delivery and workplace dining orders. This position serves as the liaison between clients, the sales team, and operations, ensuring every event or order meets Blue Plate’s high standards while contributing to the company’s financial success.
Beyond administrative and operational support, this role is responsible for helping Sales Consultants achieve their financial goals and contributing to the overall team revenue objectives. The Client Services Coordinator will also have an individual revenue goal, reinforcing the importance of understanding sales performance, client retention, and revenue impact.
Key Responsibilities
Client & Order Management
- Serve as the first point of contact for clients, handling inquiries via phone, email, and online platforms.
- Process catering and delivery orders in accordance with client needs, ensuring accuracy and efficiency.
- Create customized proposals using the Delivery Menu, incorporating staffing, equipment, and dietary requirements when needed.
- Manage order modifications, special requests, and last-minute changes, ensuring seamless execution.
- Maintain awareness of financial goals related to order volume and revenue impact.
Sales & Financial Goal Support
- Assist the Delivery Sales Consultants in reaching their financial goals, ensuring they have the necessary support to grow and manage their client base.
- Track personal revenue contributions and support internal reporting to highlight the impact on sales performance.
- Actively contribute to the overall team revenue goal, recognizing that financial performance is a shared responsibility.
- Work with Sales Consultants to maximize revenue opportunities, ensuring all clients are presented with the full range of Blue Plate’s services.
Sales & Operations Coordination
- Support the sales team by providing administrative assistance, including updating CRM records and tracking client interactions.
- Coordinate with the culinary and operations teams to ensure all orders are executed as planned.
- Attend daily production meetings to align with the operations team on upcoming orders.
Billing & Documentation
- Generate and submit billing packs in accordance with internal guidelines.
- Ensure all client accounts are properly documented and updated in the sales system.
Collaboration & Process Improvement
- Work closely with Sales Specialists to improve efficiency and customer service.
- Identify and suggest process improvements to enhance order accuracy and client satisfaction.
- Assist with the development of client resources such as order guides and FAQs.
Qualifications
- Strong problem-solving skills, with the ability to think critically and resolve client or operational challenges proactively.
- 2+ years of customer service, catering coordination, or administrative experience.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks in a fast-paced, deadline-driven environment.
- Proficiency in CaterXpert or other catering management software preferred.
- Experience working with corporate or high-volume clients is a plus.
- Financial awareness, with a focus on supporting revenue goals and understanding the impact of client retention and order volume on business success.
Compensation and Benefits
Salary Range: $55,000–$60,000 annually, based on experience and qualifications.
Bonus Eligibility: This role is eligible for bonus.
