Full Time - Intake Coordinator

 

The Intake Coordinator position is responsible for helping patients in accessing the required medical care that suits individual needs and assist with completion of admission, and registration following any insurance inquiries, phone calls and emails, most often first-person patient interacts with before admitted in treatment. Directly responsible for all coordination and intake of direct admission patients.

 

Responsibilities:

 

  • Schedules intake appointments for potential new patients.
  • Schedules Patient annual physicals
  • Interview all new potential patients to assure qualifications/eligibility for Methadone program
  • Gather all information of Heroin/Opiate use for physician to determine patient addiction and eligibility.
  • Completes an intake packet with each patient upon intake.
  • Responsible for collecting samples and completing rapid drug screens.
  • Provide Patient with information to apply for Medicaid.
  • Input all patients’ demographics into computer SAMMS.
  • Works directly with Nursing and physicians daily.
  • Assists with light clerical duties such as filing, copying and typing.
  • Responsible for keeping patient emergency information up to date.
  • Provide Superior patient services to all Patients/Visitors and answer all questions while upholding company policy and procedures while maintaining HIPAA Compliance.
  • Ensure all intake patients properly fill out and sign all forms correctly,
  • Faxes outgoing information including but not limited to dual enrollments and requests for information.
  • Manages multiline phone system incoming call and forwards call to the appropriate staff member.
  • Responsible for verifying insurance eligibility information.
  • Generates Reports for Billing.
  • Completes check in process so patient may proceed to dispensing area.
  • Follows all clinic policies and procedures, as well as, state and federal regulations.
  • Assists with chart audits, filing, and making new charts.
  • Coordination of transfer paperwork with local hospitals and uploading documents into patient electronic file.
  • Other duties as assigned.

 

Qualifications:

  • High school diploma or equivalent from an accredited secondary education institute required.
  • Experience and knowledge of state and federal healthcare regulations required.
  • Prior experience with identifying if a patient meets criteria for admission to a program.
  • Demonstrated experience in managing multiple priorities.
  • Must be a self-starter, proactive, organized and possess strong interpersonal and communication skills with the willingness to learn required.
  • Must have a detail-oriented approach and be able to maintain a high level of ownership and accuracy.
  • Proven competency with MS Office applications, including Word, Excel and PowerPoint required.
  • Adaptability in a challenging and dynamic environment; understand and work well in a matrixed organizational structure required.
  • Satisfactory references from employers and/or professional peers
  • Satisfactory drug screen and criminal background check.
