We are seeking an experienced and motivated Intake Coordinator to join our dynamic team. This full-time role involves providing patient access to medications and therapies by contacting insurance companies and verifying insurance eligibility, benefits, coverage, and authorizations.

The ideal candidate will possess excellent communication and time management skills, a keen eye for detail and accuracy, in-depth knowledge of insurance benefit verification, and compliance with Federal and State regulations.

REQUIRED EDUCATION AND EXPERIENCE:

A high school diploma or GED is required, along with at least 2 years of experience in customer service, medical billing and coding, benefits verification, healthcare, or related fields.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Enter demographic, physician, insurance, authorization, and other patient information into profiles.
  2. Review incoming prescription orders and attach them to patient profiles.
  3. Evaluate patients' preferred site of administration (Infusion Suite vs Infusion Center).
  4. Contact patients or physicians to gather missing information.
  5. Conduct benefit investigations for new patient referrals, evaluating pharmacy and medical benefits.
  6. Obtain necessary documentation for prior authorization submissions.
  7. Follow up on authorizations until approved.
  8. Communicate with patients, physicians, and departments regarding benefits and authorization statuses.
  9. Notify patients about coverage and payment responsibilities, and assist with financial hardship documentation and co-pay cards.
  10. Document all interactions and requests in patient records for seamless care coordination.
  11. Identify in-network or mandated pharmacy providers and communicate with patients and physicians accordingly.
  12. Provide leadership and guidance to associates, assist in resolving complex cases, and train new staff.
  13. Develop and suggest workflow process improvements and document process changes.
  14. Participate in meetings and work groups to stay informed about policies and developments.
  15. Train staff on software systems, customer service, and departmental workflows.
  16. Identify deviations from training or processes and address them.
  17. Serve as SME for new applications and system upgrades.
  18. Promote training participation and coach staff on workflow processes.
  19. Ensure compliance with all regulations, policies, and best practices.
  20. Maintain quality, productivity, and turnaround standards.
  21. Perform other duties as assigned.

PREFERRED EXPERIENCE: Home Infusion Coordination

QUALIFICATION REQUIREMENTS:

  • Effective communication with patients, physicians, and coworkers.
  • Proficiency in English (listening, speaking, reading, writing).
  • Ability to make decisions, solve problems, and work independently.
  • Knowledge of processes, systems, and techniques for successful authorization.
  • Ability to identify gaps, determine solutions, and take corrective actions.
  • Strong leadership skills.
  • Ability to teach and demonstrate interactions with patients and prescribers.
  • Team-oriented and service-focused attitude.
  • Attention to detail and accuracy.
  • Ability to prioritize and meet deadlines.
  • Basic computer skills and proficiency in Microsoft applications.
