About the Role:

We are expanding our team and looking for a second Service Coordinator to help support our growing service volume. In this role, you will work closely with our current Service Coordinator, Maintenance Sales Executive, and VP of Sales to ensure seamless service operations and customer support.

Roles & Responsibilities:

As a Service Coordinator, your key roles and responsibilities will include, but are not limited to the following:

· Schedule Service Appointments – Coordinate and schedule service calls, repairs, and maintenance, ensuring efficient use of technician time and resources.

· Customer Communication – Serve as the primary point of contact for clients regarding service requests, scheduling updates, and follow-ups, providing excellent customer service.

· Work Order Management – Create, track, and manage work orders, ensuring all details are accurately documented and completed in a timely manner.

· Technician Coordination – Assign service technicians to jobs based on location, skill set, and availability, optimizing schedules for efficiency.

· Estimating – Provide detailed and accurate cost estimates for materials, equipment, and installation.

· Parts and Materials Coordination – Work with vendors and internal teams to ensure necessary parts and materials are ordered, stocked, and available for scheduled service calls.

· Problem Solving & Issue Resolution – Troubleshoot scheduling conflicts, delays, and unforeseen service issues, working closely with clients and technicians to find solutions.

· Documentation and Reporting – Maintain accurate records of service history, job progress, and customer interactions, providing reports as needed to management.

· Process Improvement – Identify opportunities to streamline scheduling, communication, and service processes for greater efficiency and customer satisfaction.

· Collaboration with Sales and Operations – Work closely with the sales and project management teams to align service schedules with ongoing installations and customer needs.

· Invoice and Billing Assistance – Support the billing process by verifying completed service work, ensuring proper documentation, and communicating with the accounting team as needed.

Bonus:

While the primary focus of this role is scheduling and coordinating service work, experience in marketing is a bonus. We hope to utilize this position to support our promotional efforts, including website updates, social media management, and customer outreach. If you have a background in marketing or an interest in helping to enhance our brand presence, there will be opportunities to contribute to these initiatives.

Desired Experience:

· Industry Knowledge – Familiarity with construction. Specific background or experience in window coverings (blinds, shades, draperies, motorized systems, etc.) is a bonus.

· Sales Experience – Ability to consult with customers, understand their needs, and recommend appropriate solutions.

· Floorplan/Blueprint Reading – Proficiency in reading and interpreting construction plans or architectural drawings.

· Quoting and Pricing – Experience with estimating costs, preparing detailed quotes, and explaining pricing to customers.

· Software Skills – Familiarity with design and estimation software (Bluebeam, Building Connected, Procore, Trello)

· Customer Interaction – Strong interpersonal skills to liaise with clients, contractors, and vendors effectively.

· Attention to Detail – Exceptional accuracy in quotes to avoid costly errors.

· Problem-Solving – Skill in identifying potential challenges and offering practical solutions during the estimation phase.
